  • Provide administrative, executive support and secretariat functions services to the Office of the Director – Human Resources;
  • Plan, co-ordinate, monitor and support the Director Human – Resources in ensuring all HR related projects are completed in time;
  • Manage a database to document all project life cycles and their respective timelines;
  • Consult with experts in specialist areas and co-ordinate all strategic and operational inputs;
  • Organise and conduct all project meetings between the Director and line management;
  • Respond to enquiries and provide information on matters within the portfolio of the Director – Human Resources;
  • Coordinate the organising of all events and functions for the Department of Human Resources;
  • Budget monitoring and administration of all financial transactions for the Director’s office;
  • Managing all correspondence and delegated communication from the office of the Director – Human Resources (incoming and outgoing);
  • Provide secretarial services for meetings attended by the Director – Human Resources and for meetings in which the Director – Human Resources is the convener and/or chair (committees, working groups, task teams, negotiation committees and project management teams);
  • Manage logistic and administrative arrangements for HR meetings including but not limited to the Skills Development Committee, Wellness Advisory Committee, Union Negotiation Meetings, Human Resources Managers Meeting, HR Committee of the Executive, HR Committee of Council, Joint Committee of Council and Planning and Budgeting Committee (Sub Committee);
  • Independently coordinate the follow-up actions arising from meetings and consolidate all inputs prior to the next meeting;
  • Manage the Human Resources calendar for the Director and record all University and Human Resources events.


  • A three year Bachelor’s degree with specialization in Human Resource Management, Communication Management, Business Administration, English, or any other related subject field;
  • 5 years relevant experience as an assistant to a senior management role;
  • Proven experience of managing meetings (scheduling, minute-taking, follow-up), drafting notices, editing documents;
  • At least one year proven experience in project management;


  •  Knowledge of and insight in the operations of tertiary education institutions
  • Knowledge of project management
  • Strategic thinking
  • Knowledge and understanding of editing and drafting of documents
  • Good minute- taking and report writing skills
  • Good interpersonal skills, especially across cultural boundaries
  • lnnovative, creative and analytical thinking skills
  • Ability to conceptualise and formulate solutions to problems
  • Excellent computer skills (word processing, spreadsheets, databases, Internet, submissions)
  • Good project management skills;
  • Accuracy and attention to detail


  • Postgraduate qualification in Human Resources or related field;
  • Project Management qualification;
  • Experience with strategic initiatives in a project related environment;
  • Experience in Higher Education environment;

The total remuneration package for this position will be as determined by UP remuneration policy guidelines. (These amounts include the University’s contributions to standard UP benefits, namely provident fund, group life and funeral cover, but exclude contributions to medical aid, as the latter varies per employee.) UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
